How we handle data collected via the Travel to Work Survey.
What is Personal data and why do you need it?
South Gloucestershire Council is registered with the Information Commissioner’s Office for the purposes of processing personal data. The information you provide will be held and used in accordance with the requirements of UK data protection law.
The Travel to Work Survey is an annual commuter survey, promoted to businesses, in order to analyse the changes in behaviour relating to ongoing projects in the region and the progress being made in businesses with regards to sustainable travel. We will ask for your name, email, postcode, business name and business address. We will also ask for your disability status, to help us understand how this might impact your choice of transport mode for commuting, along with gender, age and ethnicity to help us understand demographic trends in choosing transport modes. We will not ask for information relating to criminal convictions or offences.
Why do you need my consent?
In order to carry out this survey, we are relying on your consent to take part, which is demonstrated through your completion of the survey. It is purely optional, but will help us analyse how we are meeting our legal obligations regarding road safety and safe passage, as well as meeting our target obligations regarding housing and transport links, air quality and carbon reductions.
How do I enter the prize draw or request further information about the project?
At the end of the survey, we will ask you if you would like to be contacted in the future with information about Transport, Air Quality or Climate Emergency consultations from the local authority or the West of England Combined Authority.
You will also be asked to opt-in for more information on active and sustainable commuting, to receive a summary of the survey results and to receive an annual invitation to participate in the survey for the next 3 years.
You will also be asked to opt-in to the prize draw, if this box is selected you will only be contacted if you win a prize.
If you do not opt-in, we will not contact you in the future.

Who uses my data and how is it stored?
The survey will be processed by Snap Surveys Ltd, who are a UK-based company, and the data is held on UK-based servers. For further details of how Snap Surveys Ltd processes personal data, please see: https://www.snapsurveys.com/survey-software/privacy-policy-uk/
Anonymised information relating to methods of travel and behavioural changes will be shared with the University of West of England, so they can analyse the success of the project for reporting to the Department for Transport if necessary. Anonymised area-wide reports grouped by postcode may also be shared with the public. Personal information will not be published and will not be passed on to third parties. At the end of the project (July 2025) any personal data held by the West of England councils will be fully anonymised.
We may lawfully disclose information to public sector agencies to prevent or detect fraud or other crime, or to support the national fraud initiatives and protect public funds under the Local Audit and Accountability Act 2014. Under the conditions of the Digital Economy Act 2017, we may also share personal data provided to us with other public authorities as defined in the Act, for the purposes of fraud or crime detection or prevention, to recover monies owed to us, to improve public service delivery, or for statistical research. We do not share the information with other organisations for commercial purposes.
You have the right to see the personal data we process about you, as well as the right to correct any errors, and to ask us to restrict the automatic anonymization of the records. Because we are relying on your consent to process your personal data, you also have the right to revoke this consent at any time. Travel to Work Survey prize draw – terms & conditions
- The prize draw is organised by the Travel to Work Survey project team on behalf of participating organisations within the South Gloucestershire Council, Bristol City Council and Bath & North East Somerset Council areas.
- The prize draw is open to individuals who complete the Travel to Work Survey and are employed by a participating organisation. Entrants must be 16 years or older. One entry per person is permitted. Employees involved in administering the survey or prize draw, and their immediate family members, are not eligible to enter.
- Eligible participants may opt in to the prize draw when submitting their survey response. No purchase or payment is required to enter. Entries open on the date the survey launches and close at 23:59 on the final day of the survey period.
- There are ten prizes each comprising of a £50 voucher. Prizes are non‑exchangeable, non‑transferable and no cash alternative will be offered. Use of any prize voucher is subject to the terms and conditions of the voucher provider.
- Ten winners will be selected at random using a random generator tool. The draw will take place by 1 May 2026. Winners will be contacted using the contact details provided via their survey link. Winners must respond within 7 days of being notified. If a winner does not respond in time, the project team reserves the right to select another winner. Winners’ names will not be publicly published, in line with data protection best practice.
- Personal data collected for the prize draw will be used solely for administering the draw and contacting winners. Survey responses remain anonymous and are not linked to prize draw data. All data will be processed in accordance with our privacy policy and applicable data protection legislation. Personal data relating to the prize draw will be securely deleted once no longer required.
- The project team reserves the right to amend, suspend, or cancel the prize draw where necessary, including circumstances outside the project team’s control.
